Maintenance (Repairs) Tracking System

This system is designed to break down the cost of maintenance to a Unit and category level, as opposed to a total cost per Property and general ledger account code level. (This system operates only on the Property level)

 

Each time an entry via one of the defined capture points is captured, if the Property is not excluded, the operator will be required to break the cost of the relevant maintenance item to a Unit and category level. Any maintenance not for a Unit, can be recorded as 'Common' to the whole Property, by entering the Unit number as 'COM'.

 

Because this will involve extra analysis on capturing, there is a facility to exclude the Property from the tracking system, where a Unit level analysis is not relevant. This will apply mainly to sectional title buildings, where most maintenance is for the common Property.  It might still be useful in this area to use the system to track categories, if required.  This exclusion is effected on the Maintenance - Property, Field 15, by setting control flag  20 to 'N'.

 

Various reports and interrogation spreadsheets analyse the Unit/category level and Unit type/category level, over selected time periods.
